SUMMARY:
The incumbent is responsible for providing administrative/clerical support to a Legal Team in the Legal Services Department. The Legal Assistant is also responsible for managing outside counsel invoice payments, payroll processing and, where needed, Department calendars.
SPECIFIC RESPONSIBILITIES:
- Provide legal secretarial and administrative support to a Legal Team, including confidential correspondence, and general support to all the members of the Legal Services Department
- Open, close and update all real estate files in accordance with an established system and perform all aspects of file administration
- Responsible for maintaining and updating real estate related charts
- Under supervision of a lawyer in the department, prepare and process lease related documentation, including estoppel certificates and non-disturbance agreements
- Open and close legal files (electronic and paper) in accordance with an established system and perform all aspects of file administration
- Draft and prepare basic correspondence and other documents for professional approval/signature using precedents
- Track contract executions and renewals
- Track litigation and tribunal milestones; assist with preparation of litigation/tribunal material using templates
- Prepare and distribute various reports as necessary
- Prepare presentation materials utilizing PowerPoint or other presentation software
- Manage legal invoice payments, including approvals, tracking and processing invoices for payment by Accounting
- Coordinate and attend meetings, as required, take minutes and follow up with internal and external parties on behalf of the legal team
- Where necessary, make necessary arrangements for internal and external meetings including room reservations, refreshments, and audio/visual equipment
- Arrange travel and accommodations as required
- Other duties as assigned.
QUALIFICATIONS:
- College diploma
- 2 – 3 years of previous work experience in a similar role. Litigation or real estate support would be an asset
- Advanced computer skills with Microsoft Office Suite
- Excellent written and verbal English communication skills (in French would be an asset)
